AeroDesk controls automatic SMS templates and fills in business, customer and appointment details. You can select supported workflows, timing, approved tone and sending hours; there is no free-form customer SMS composer.

Where social messaging is available and enabled, connected accounts share a Unified Inbox and reply allowance. Conversations identify the receiving account. Take Over pauses AI for that conversation; Return to AI remains subject to channel readiness, subscription and usage limits.

Social messaging remains subject to provider approval and separate activation. No AI system guarantees accuracy, delivery, bookings or revenue. Review important replies and use human takeover when needed.

What AeroDesk AI can do

AeroDesk AI can answer questions using the information you configure, capture new inquiries, organize call and website-chat details, collect booking requests, prepare conversation summaries, and support the customer follow-ups you enable.

It can also help draft replies and next actions for your team. AI can make mistakes, so important promises, sensitive decisions, pricing exceptions, and unusual requests should be reviewed by a person.

Receptionist identity and transparency

You choose your receptionist name, voice, greeting, hours, and handoff settings. The opening can sound natural and use your business identity instead of AeroDesk branding.

The receptionist must not claim to be human or impersonate a real employee. If a caller asks, it identifies itself as the business’s automated receptionist and offers human help when available.

Incoming calls and approved follow-ups

Incoming calls can be answered using your saved greeting, service information, hours, booking path, and callback rules.

Outbound calling is designed for requested callbacks and approved service follow-ups, including appointment confirmations, reminders, rescheduling, and existing-service updates—not cold promotional robocalls.

You remain responsible for having an appropriate reason and any required permission before contacting a customer.

Recording, transcription, and retention

When recording or transcription is enabled, AeroDesk AI can play a short notice before the conversation continues. You control the recording and transcript options for your business.

Your authorized users can review available summaries, recordings, and transcripts inside your private workspace. Retention periods are configurable, and expired call data can be removed through the system’s retention process.

You must choose notices and retention settings that fit the privacy and consent requirements that apply to your customers.

Consent, opt-outs, and message protection

AeroDesk AI keeps separate communication signals for calls, callbacks, recordings, and messages instead of treating one interaction as permission for everything.

Enabled messages follow configured timing and sending rules. SMS STOP and START handling, do-not-contact records, duplicate protection, and sending safeguards help prevent repeated or unwanted communication.

When a customer opts out, you must respect that choice and avoid restarting contact without a valid reason and appropriate permission.

Fair review requests

Every customer receives the same public review option. AeroDesk AI does not use rating-based review gates or send happy customers to one destination and unhappy customers somewhere else.

You may also offer an optional private feedback path for service recovery, but that choice does not replace or hide the public review option.

Human handoff and emergency limits

You can configure a team transfer or callback path. When the receptionist cannot safely complete a request, it can collect the customer’s details, save the next action in Inbox, and direct the request to your team.

AeroDesk AI is not an emergency service and should not be the only decision-maker for medical, legal, financial, safety-critical, or other regulated matters. Urgent or sensitive situations require appropriate human review.

Private workspace and controlled access

Your business has its own workspace. Calls, messages, customer details, settings, and saved activity are available only to your authorized users and approved AeroDesk support.

Private connections and security settings are not shown on public or customer-facing pages.

Business responsibilities

Keep business information accurate, choose suitable call and retention settings, review important AI output, provide a working human contact path, and respond to customers on time.

Follow the notice, consent, calling-hour, messaging, opt-out, and industry rules that apply to your business and customers.
