An AI receptionist for salons can answer approved questions and capture appointment requests while the team is with clients. The main challenge is making sure the requested service, stylist, and time match the salon's actual booking process. A friendly conversation should lead to a valid booking path or a clear request for the front desk.
Use the salon's own service menu
Prepare the service names customers recognize, along with any approved starting prices, consultation requirements, and booking instructions. If two services sound similar, provide a short explanation from the salon rather than asking the AI to decide which treatment the customer needs.
Some appointments depend on hair length, previous work, the stylist, or a consultation. Where the salon has not supplied a fixed price or duration, explain that the team will confirm it. Do not turn a starting price into a guaranteed total or invent an appointment length.
Collect the service and stylist preference
Ask which service the customer wants, whether they have a preferred stylist, and which day or time would suit them. Collect a name and contact method for follow-up. If they are flexible about the stylist or date, record that flexibility so the front desk can offer relevant options.

Keep the booking page as the source of availability

Treat changes as requests until completed
For a reschedule or cancellation, collect enough information for the salon to identify the appointment and understand the requested change. Direct customers to the salon's approved change process where one exists. A message to the front desk should not imply that the original appointment has already been changed.
Only repeat the cancellation, deposit, and late-arrival policies the salon has approved. If the customer asks for an exception or a refund, hand the request to staff. Do not invent a fee waiver or promise a refund on the salon's behalf.
Test a realistic salon conversation
For example, a fictional customer wants a colour appointment with a particular stylist on Saturday. The receptionist follows the salon's consultation instructions and shares the correct booking page if available. If the requested service needs review, it records the preference and passes it to staff without claiming a slot is reserved.
