Booking links and appointment requests
AeroDesk supports two booking experiences: send a real connected booking link, or collect an appointment request for the business to confirm manually.
When a booking link is connected
The Book action appears only when the client has saved a valid Calendly, Google, or other supported booking URL. The chatbot and AI use that same link instead of creating duplicate booking buttons.
Opening or copying the link does not create a booking. The booking calendar remains the source of truth for available times and confirmation. If a connected calendar sync is enabled, the confirmed appointment can also appear in AeroDesk Bookings.
When no booking link exists
The Book button stays hidden. The AI can collect the service, preferred date or time, name, and either a phone number or email address.
The request appears in Inbox for the business to confirm. Any acknowledgement must clearly say that the appointment is requested, not confirmed.
Messages and confirmations
When the booking provider sends its own confirmation email, AeroDesk should not send a duplicate confirmation. AeroDesk may send one acknowledgement for a manual request if that workflow is enabled.
Reminders and rescheduling messages should be tied to the same appointment record and respect the customer's communication permissions and opt-out status.
Testing
Test the link in a private browser window, confirm that it belongs to the correct business, and complete one controlled test booking. Then check that the business receives the right calendar notification and AeroDesk status.
If the link changes later, update the saved business booking URL and retest before sending it to customers.
