Website chatbot, Inbox, and email replies

The website chatbot collects customer questions and lead details. The AeroDesk Inbox keeps related chat, email, call, attachment, assignment, and follow-up activity connected to the correct business and conversation.

Configure the chatbot

Choose the bot name, welcome message, brand colors, approved answers, behavior, and installation method. The desktop setup screen shows a live preview while the client changes these settings.

The header uses Call, Book, Social, and Close, with an optional Callback request action. Call and Book appear only when their saved setup is ready and the business has chosen to show them. Social opens saved public business profiles; it does not enable social messaging, which is coming soon and requires separate activation. There is no Text header button.

Automatic reply routing

When the visitor is active in the website chatbot, a client reply defaults to Chat. When the visitor is offline and an email address is available, it defaults to Email.

AeroDesk should not automatically send the same reply through Chat and Email. If neither channel is available, Send stays disabled and explains why.

Attachments

Customers and authorized business teammates can attach supported files with the paperclip or drag-and-drop on supported desktop screens. A preview appears before sending, with upload progress, remove, retry, and clear size/type errors.

AeroDesk copies are kept in private business-separated storage and opened through short-lived signed links. An email provider transports email attachments but does not replace AeroDesk's private copy.

AI and human takeover

The Inbox shows when the AI is replying and when a teammate has claimed the conversation. Claim, Take over, Return to AI, Assign, and Resolve should update without a page refresh.

Drafts are saved while switching conversations. New messages appear in real time, and the composer shows Sending, Sent, Failed, or Retry when the connection is slow.
