AI receptionist, transfers, and callbacks

The AI receptionist is designed for inbound customer service and approved follow-up—not cold promotional robocalls. It can answer business questions, capture the reason for a call, support booking requests, and pass work to a person.

What the receptionist can do

It uses the business's saved greeting, services, hours, location, booking path, and instructions. It can collect a name, contact method, service need, urgency, and preferred time.

If a caller asks, the receptionist must not pretend to be human. Recording or transcription notices must be used when required by the business's settings and applicable rules.

Human handoff

A business can route a handoff to the owner, a specific teammate, or a team line. AeroDesk calls the saved private destination without exposing that number to the customer.

If someone answers, the Inbox records that the transfer was answered. If nobody answers, the AI can continue the conversation, capture the next step, and create a Needs follow-up item.

Requested callbacks

A customer may request a callback in the chatbot or during a call. AeroDesk stores the request in the business Inbox with the customer details and requested reason.

Outbound calls should be limited to customer-requested callbacks and approved service workflows such as confirmations, reminders, rescheduling, or existing-service updates.

Reviewing the result

The authorized business team can review the call summary, transcript or recording when enabled, assignment, outcome, and next action. They can call, message, assign, or mark the follow-up handled.

AeroDesk is not an emergency service. Businesses should give the receptionist clear instructions for urgent, medical, safety, or other high-risk requests.
